# Setting up a meeting

- Settings: meeting title, subtitle, date line, venue, logo, theme, accent colour.

- Presentations: upload PDF / PPTX / PPT / ODP / images. PPTX is converted on the server; check the thumbnails that appear.

- Photos: make an album, upload photos, set seconds per photo.

- Agenda: add items with speaker and start time.

- Music: upload tracks, build the playlist, choose which screens play sound.

- Screens & Links: open each screen link on its room machine and click Start Display once. Or pair the machine by QR code instead (below).

### Pairing a room machine by QR code

      No links to copy. On the room machine, open /qr on your workspace's
      address (for example yourname.visuelize.com/qr). It shows a QR code that
      changes every 20 seconds, and a six-character code under it.

- Tap the room machine once. That turns on sound and full screen, which browsers only allow after a touch. You can do it before or after scanning.

- Scan the code with your phone's camera (signed in to Visuelize), or press Pair a display in Live Control and scan it there. No camera? Type the six characters instead.

- Choose which screen it is. The next screen nobody has opened is picked for you, or add a new one. The machine starts showing it at once.

      Setting up a whole room? In Live Control's Pair a display, tick
      Pair in order: every scan becomes the next free screen (Screen 1, then
      Screen 2, and so on) and the camera moves straight on to the next machine.

      While the session runs, a screen stays that screen. A network drop, a restart of the
      service, the machine going to sleep or being rebooted: it reconnects as the same screen
      by itself, and nothing but an operator takes it off. When the session ends, a paired
      machine shows "session ended" for a moment, then a fresh code. Start the session again
      and it comes back as the same screen by itself. A kiosk machine can simply use
      /qr as its home page.

### The Devices list

      Under the screens in Live Control, Devices lists every machine
      connected as one of the session's screens: which screen, what browser, whether it has
      sound and full screen, how long it has been on, and whether it joined by QR code or by
      the screen link. Disconnect takes one off its screen and keeps it off,
      even if someone reloads it or opens the link again; a machine paired by QR code goes
      back to showing a code. Allow again under "Disconnected displays" lets
      one back, and so does pairing it by QR code. A browser whose data is wiped comes back
      as a new machine, so to shut out everyone holding a screen's link, generate a new token
      for the screen. The superadmin also sees each machine's IP address, full browser
      version and hardware.

      If nobody taps the machine, it still shows the meeting, but muted and
      possibly in a window. Live Control warns you above the screens, and the screen's card
      shows a muted or not-full-screen mark, until someone taps it once. A browser started
      in kiosk mode with autoplay allowed needs no tap at all.

      Sound needs that one click. Browsers refuse to autoplay audio until
      a page has been clicked. A screen that was opened but never clicked will show slides
      perfectly and stay silent all day. Click Start Display during setup,
      not five minutes before the meeting.
