VisuDrive

VisuDrive is one file browser over everything the organisation holds: presentations, documents, photo albums, videos, audio and any other file. It has two homes. The console's VisuDrive tab shows the whole organisation, laid out as folders: All files is the organisation shelf, each team is a folder, and each session is a folder inside its team (or at the top, for a session that belongs to the organisation). Live Control's VisuDrive tab opens the same browser on the session you are running, with its team library and the organisation shelf beside it.

Search as you type, or narrow with the Type, People, Modified and Location chips. The search box also takes type:pdf, owner:me, is:starred and is:archived, and the button at its right end opens every search option at once. Switch between list and grid, sort by name, date or size, and open the details panel for owner, size, pages and where a file lives. Recent groups by day, Starred holds your own stars (nobody else sees them) and Archived keeps what you archived until you restore it or delete it forever.

Drop files onto a folder to upload them there: presentations become decks, papers become documents, pictures become a photo album, video and audio go to their libraries, and anything else is kept as a plain file. Drag items onto another folder (in the list, the path at the top or the folder tree) to move them; you need manage rights on both folders. Keyboard: / search, v list or grid, i details, s star, F2 rename, Delete archive, Enter preview.

Downloads run through a signed-in route, not the open /media path the room displays read from, so board papers are not sitting on a guessable URL.

Saving a file onto a room machine

Showing an item is the Show on entries at the top of its menu. Further down, for a file someone needs on the room computer itself, Save to a screen's Downloads… (or Save to and the screen's name, when the session has only one) makes that display's browser save the original to its own Downloads folder. Nothing appears on the screen (the room sees no download bar) and the details panel shows which screens confirmed. Save to Downloads on all N screens does every connected screen of this session at once, never another session's.

Keep a copy on… is the fast path. The label says which screens: this session's for its own papers, every screen of the team for a team file, every screen in the organisation for the shelf. Each of those screens pulls a copy into its own cache immediately and again whenever it reconnects, so a later save is instant instead of a download over whatever the room's link happens to be.

Two settings on each room machine decide whether a push is silent. Chrome saves without asking only when “Ask where to save each file” is off; leave it on and a save dialog pops up on the projector. Set the destination with --download-directory if the display is launched kiosk-style. Worth doing once, on every screen machine, before you rely on this in a meeting.
